Policies are the rules everyone in your organization follows, such as an information security policy or an acceptable use policy. CloudSignLab keeps every version and records who has read and confirmed it.
How to write and publish a policy
- Open Policies in the menu, then Write policy.
- Enter the Policy title, a short Summary and the Policy text. The text is plain text; line breaks are kept.
- Choose the Owner and a Next review date.
- Tick Members must confirm they read it if everyone should confirm it.
- Click Save policy. The policy is saved as a Draft. Members do not see drafts.
- When it is ready, open it and click Publish. Everyone in the organization is notified.
How members confirm
Members see published policies. Policies they still have to confirm are marked To read and confirm and appear in their Tasks as Read and confirm. They open the policy, read it and click I have read and understood it.
On the policy page, owners and admins see how many members have confirmed, and under Who confirmed this version who has and who has Not yet.
New versions
If you change the title or text of a published policy, it becomes a new version, for example version 2. Everyone is asked to read and confirm it again. CloudSignLab keeps who confirmed which version.
Retire or delete
- Retire a policy you no longer use but want to keep on record.
- Delete policy removes the policy and all its confirmations; the history stays in the audit log.
Tips
- Policies with a Next review date appear in Tasks as Policy review. When the date has passed, the policy's owner gets one reminder (or the owners and admins if no owner is set).
- Only owners and admins (or a custom role with that permission) write, publish and change policies.
- Package limits: Free 3 policies, Supplier 10, Professional and higher unlimited.
A policy can start From template or with Draft with AI; a published policy can be downloaded as Word or opened with Print / PDF.
